To do so, they are joining forces with HICSS, a key provider of innovative healthcare solutions in the UK. Closely integrated with the NHS, HICSS brings a wealth of experience in managing endoscopy procedures. They have developed software for endoscopy operations management, including recording of patient interventions, patient care plans, reporting, and more.
This partnership underscores Gray’s vision of optimizing entire care trajectories, no matter the disease, to ensure every patient receives the best possible care as efficiently as possible.
Tackling key challenges in Endoscopy
Endoscopy is a vital diagnostic and therapeutic service in modern medicine, but departments worldwide face growing challenges, including increasing patient demand, resource constraints, and complex scheduling requirements. Many units still rely on outdated systems such as paper-based processes or spreadsheets, leading to inefficiencies, long patient wait times, and scheduling errors. These operational challenges not only delay diagnoses and treatments but also place significant strain on healthcare providers.

The new endoscopy booking system will launch in 2025
Through the collaboration, Gray and HICSS will launch a new endoscopy scheduling system in Q2 2025. The module, will first launch in the UK before being rolled out globally. Designed to tackle the complexities of endoscopy operations, the module will integrate with the endoscopy unit’s existing systems to streamline the scheduling process, thus reducing inefficiencies, improving resource utilization, and elevating the patient experience.
Reducing administrative burden
The software automates and optimizes the scheduling processes to alleviate administrative tasks. It automatically identifies and books the best time slot for each patient by considering resource availability, staff specialization, and patient preferences.
Optimizing use of resources
The scheduling solution intelligently allocates staff and room resources, ensuring they are utilized to their full potential. Real-time updates enable immediate adjustments, such as reallocating slots after cancellations, thus keeping schedules optimized despite last-minute changes.
Enhancing capacity and demand planning
The tool offers comprehensive insights into patient volumes, appointment wait times, cancellation and DNA rates, and resource utilization. With built-in reporting, analytics tools, and real-time dashboards, managers can make data-driven decisions to improve operational efficiency and enhance patient care.
Smoothly integrating with existing systems
The module seamlessly connects with electronic Order Comms systems, enabling an end-to-end workflow from referral to procedure completion. Procedure records are automatically created and pre-populated with referral data, ensuring a fully integrated and efficient scheduling process for the endoscopy department.
