The problem

The Ottawa Hospital Cancer Centre operates one of the most extensive radiation medicine programs in North America. Spread across two sites, its 12-external beams center caters to approximately 5,800 new patients annually.

However, as radiation therapy treatments become more intricate and patient numbers rise, challenges have emerged:

  • Chronically high wait times

  • Never-ending wait list

  • Manual and inefficient processes

  • Last-minute changes disrupting operations and affecting patient experience

The solution

GrayOS is deployed across the two radiation oncology sites to streamline operations, reduce administrative burden, and improve wait times.

Key results:

  • +17% increase in the rate of patients treated within the targeted time outlined by Cancer Care Ontario

  • -58% decrease in administrative wait time

  • -58% decrease in time scheduling new patient booking requests

  • -42% decrease of the size of the scheduling list

  • Increased clerks satisfaction

“The wait times are the best we’ve seen in a decade. 93% of our patients are being treated on time, when this time last year, only 76% met the target deadline set by Cancer Care Ontario. Our team is less stressed when at the end of the day they can go home knowing that every patient that needs to be scheduled, has been scheduled”.
